How to use DeedScribe

How do I start a deed?
Three ways. Upload the prior deed (New Deed → drop the last deed of record as a PDF): DeedScribe extracts the parties, tax map numbers, county, and Schedule A. Start from the parcel (Parcel Search → find the property by owner, address, or tax map number → Start deed): the property, current owner, and assessment fields are pre-filled and the roll tells you the Liber and Page of the deed to upload. Or skip the uploadand enter everything by hand.
What are the four steps?
Upload deedReview & Schedule A (confirm the property, county, and tax map numbers; review the legal description against the raw extract) → Parties & details (grantors, grantees, deed type, consideration, assessment data) → Generate (run the AI review, then produce the deed and the county's transfer tax forms). Your work autosaves after the upload step; the Save button in the left rail saves immediately.
Why does DeedScribe insist I review Schedule A?
The legal description must be character-perfect; an error there means a corrective deed. DeedScribe extracts it from the prior deed, cleans the spacing and line breaks, and then shows the cleaned text beside the raw extract and lists any phrase it thinks may have been dropped. You cannot generate the deed until you have marked Schedule A reviewed.
Which documents are in the package?
Outside New York City: the deed, the TP-584 transfer tax return (current 6/25 form), the RP-5217 transfer report, and the TP-584 LLC addendum when an LLC is on either side. For the five boroughs (Kings, Queens, Bronx, New York, Richmond) DeedScribe produces the deed only: those counties e-record through ACRIS and the transfer tax return is completed online, so no paper TP-584 or RP-5217 is generated.
Where do the assessment numbers come from?
The New York State assessment roll (all 57 counties outside the city), refreshed once a year by the state. “Lookup Tax Info” on the parties step fills assessed value, property class, school district, and SWIS code from it. A very recent sale may not appear yet; verify against the tax bill.
How do I add a colleague?
Firm owners open Admin in the sidebar and use “Invite a colleague.” The person receives an email link to set a password and lands in your firm with the role you chose. Members can prepare deeds; owners can also manage members, integrations, and see usage. New firms start at Create a firm account on the sign-in page.
I got a “monthly AI limit” message. What now?
Each firm has a monthly allowance for the AI steps (extraction of scanned deeds, Schedule A cleanup, deed review), set well above normal volume. Owners are emailed at 80% and at 100%. Once it is reached the AI steps pause until the 1st; everything else keeps working and deeds can be finished manually. Reply to the notice or use the form below to raise the limit.
How does the Clio connection work?
A firm owner connects Clio once from Integrations. After that you can search your Clio matters and pull the client, spouse, and property details into a new deed, and DeedScribe can post a note back to the matter. Removing DeedScribe inside Clio disconnects it here automatically. Only names, addresses, and property details are read; nothing from Clio is used to train AI models.
Is my clients’ information safe?
Each firm's deeds are isolated to that firm, every screen requires sign-in, and uploaded PDFs are processed in memory and not stored. The details are on the Security page.
A deed came out wrong. What should I send you?
The county, the matter or client label as it appears in your deeds list, which step you were on, and what you expected instead. Do not paste Social Security or EIN numbers into the form. If the problem is a Schedule A extraction, a description of the affected clause is enough; we can look at the deed from your account with your permission.
